Privacy Policy
Contents Team LLC (“Contents Team,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use our website, platform, software, and related services (the “Service”).
The Service is intended for business and professional use by insurance professionals, public adjusters, restoration companies, and similar users, and is directed to users in the United States. See Section 11.

2. Scope
This Privacy Policy applies to personal information we collect when you:
- visit our website,
- create or use an account,
- upload photos, documents, reports, or other content,
- use the Service,
- contact us, or
- otherwise interact with us in connection with the Service.
This Privacy Policy does not apply to third-party websites, products, or services that we do not control, or to the separate question of how our business customers handle the data they place in the Service (see Section 3).
3. Our role: when we are a “controller” and when we are a “processor”
The Service is used by businesses and professionals to document property and prepare contents inventories. Much of the content uploaded to the Service concerns people who are not our direct users — for example, policyholders whose property is being documented, and other individuals who may appear in photos or documents.
- As a processor / service provider. For content that our business customers upload or generate through the Service (photos, documents, claim, project, room, and item data, and related inventory content — “Customer Content”), we act as a processor (or “service provider” under U.S. state privacy laws) that processes the content on behalf of and under the documented instructions of the customer, who is the controller. Our handling of Customer Content is governed by our agreement with that customer, including our Data Processing Agreement (“DPA”), which is incorporated into that customer’s Terms of Service.
- As a controller. For information we collect directly to operate our business — such as account registration data, billing data, website usage data, and our communications with you — we act as a controller, and this Privacy Policy describes that processing.
If you are a policyholder or other individual whose information appears in Customer Content and you wish to exercise privacy rights, see Section 6.
4. Information we collect
We may collect the following categories of information:

Information from third parties
We may receive information from service providers and third parties such as authentication providers, payment processors, analytics providers, infrastructure providers, and integrations you choose to connect.
Information about third parties in your uploads
Customer Content you upload may contain information about other people (for example, policyholders) and may incidentally capture images of people, homes, interiors, and documents. We process that information as a processor on your behalf as described in Section 3.
5. AI and automated processing
Contents Team uses artificial intelligence, machine learning, and automated tools to process uploaded photos, documents, and inventory-related content. These tools help identify items, generate descriptions, assist with categorization, organize data, and support inventory-related outputs.
AI-assisted results may not always be complete or accurate, and users are responsible for reviewing outputs before relying on them.
We provide uploaded content and related data to service providers that perform AI or related processing on our behalf, subject to contractual, legal, and technical safeguards.
We do not use Customer Content to train third-party or foundation AI models, and we do not permit our AI service providers to use Customer Content to train their models.
The Service identifies and describes property and items. We do not use facial recognition and do not collect or derive biometric identifiers (such as scans of facial geometry) from uploaded images.
6. Data about people who are not our users
If you are an individual whose personal information appears in Customer Content (for example, a policyholder) and you wish to access, correct, or delete that information, please contact the business or professional who uploaded it — that business is the controller of the content and directs how it is handled. If you contact us directly, we will refer your request to the relevant customer and assist them as required by our agreement (including the DPA) and applicable law.
7. How we use information
We use personal information to:
- provide, operate, maintain, and improve the Service,
- create and manage accounts,
- authenticate users and maintain secure sessions,
- process uploaded photos, documents, and other content,
- generate inventories and related outputs,
- support AI-assisted processing and related platform features,
- respond to support requests and communicate with users,
- process billing and payments,
- monitor usage, performance, and reliability,
- detect, investigate, and prevent fraud, abuse, and security incidents,
- enforce our terms, policies, and legal rights, and
- comply with legal obligations.
8. How we share information
We do not sell personal information, and we do not “share” personal information for cross-context behavioral advertising as those terms are defined under California law.
We may share personal information:
- with vendors and service providers that help operate the Service, including providers of hosting, authentication, storage, analytics, communications, payment processing, security, and AI-related processing,
- within your organization, if you use the Service through a business or organization account,
- when required by law or legal process,
- to protect rights, safety, security, or property,
- in connection with a merger, acquisition, financing, sale of assets, bankruptcy, or similar business transaction, and
- with your direction or consent.
Key sub-processors. We rely on the following sub-processors to provide the Service:
- Amazon Web Services (AWS) — hosting, storage, database, authentication, and AI-pipeline infrastructure (United States).
- Google (Gemini) — AI-assisted item identification and related processing.
- Stripe — payment processing.

9. Sensitive personal information
Some information you submit could include “sensitive personal information” as defined under California and other state laws (for example, account log-in credentials, or financial account information used for billing). We use and disclose sensitive personal information only as necessary to provide the Service and for other purposes permitted by law that do not require offering a right to limit. We do not use sensitive personal information to infer characteristics about you, and we do not sell or share it.
10. Data retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, enforce agreements, protect security, and comply with legal obligations. In general:
- account information is retained while your account is active and for a reasonable period afterward,
- uploaded files, project data, and inventory records are retained based on operational needs, customer instructions, deletion requests, and legal requirements,
- support records may be retained to manage support history and improve service quality,
- log, usage, and security data may be retained for troubleshooting, monitoring, and fraud prevention, and
- billing and transaction records may be retained as required for accounting, tax, and legal compliance.
We may also retain de-identified or aggregated information where permitted by law. For Customer Content, retention and deletion are governed by our agreement with the relevant customer, including the DPA.
11. Where we operate and international users
Contents Team is based in the United States, your information is processed and stored in the United States, and the Service is directed to users in the United States. We do not target or offer the Service to individuals in the European Economic Area or the United Kingdom.
If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, which may not provide the same level of data protection as your home jurisdiction.
12. Cookies and similar technologies
We use cookies and similar technologies to keep users logged in, maintain secure sessions, remember preferences, understand how the Service is used, improve performance and functionality, and support security and fraud prevention.
You may be able to manage cookies through your browser settings, but disabling certain cookies may affect how the Service functions.
13. Your privacy rights
Depending on where you live, you may have certain rights regarding your personal information, including the right to:
- access personal information we hold about you,
- correct inaccurate information,
- request deletion of personal information,
- limit the use and disclosure of sensitive personal information, where applicable,
- opt out of any sale or “sharing” of personal information (note: we do not sell or share personal information),
- object to or restrict certain processing,
- withdraw consent where processing is based on consent,
- request data portability where required by law, and
- not be discriminated against for exercising applicable rights.

We also honor recognized opt-out preference signals (such as the Global Privacy Control) where required by law. For information contained in Customer Content, see Section 6.
14. California privacy rights
If you are a California resident, you may have rights under the California Consumer Privacy Act, as amended (the “CCPA/CPRA”), including the right to:
- know the categories of personal information we collect, the sources, the business or commercial purposes for collecting or disclosing it, and the categories of third parties to whom it is disclosed,
- request access to specific pieces of personal information,
- request correction of inaccurate personal information,
- request deletion of personal information, subject to exceptions,
- limit the use and disclosure of your sensitive personal information to uses permitted under the CCPA/CPRA,
- opt out of the sale or sharing of personal information (we do not sell or share personal information), and
- not be discriminated against for exercising your rights.
Contents Team does not sell personal information and does not knowingly sell or share the personal information of individuals under 16 years of age. California privacy requests may be submitted by emailing support@contents.team. Authorized agents may submit requests on behalf of California residents, subject to appropriate verification.
15. Children’s privacy
The Service is intended for individuals 18 and older, and we do not knowingly collect personal information from individuals under 18. If you believe a person under 18 has provided personal information to us, please contact us at support@contents.team and we will take appropriate steps to delete it.
16. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, and disclosure, including encryption of data in transit and at rest, access controls, and logical isolation of each customer organization’s data in our multi-tenant environment. No system is completely secure, and we cannot guarantee absolute security.
17. Third-party services
The Service may include or rely on third-party tools, platforms, or services. Their privacy practices are governed by their own policies, not this Privacy Policy.
18. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date above and post the revised version through the Service. If required by law, we will provide additional notice or obtain consent for material changes.
